A press release, also known as a news release, is a news statement about your company, product or service to inform media and consumers.
In the past, press releases were referring to media coverage from newspapers, magazines, television and radio stations. Today, you can submit press releases online.
Just like an off-line press release, an online press release should be newsworthy highlight something interesting about a company or product.
You can use press releases to announce a range of news items such as new products and services, events, awards, accomplishments, promotions, sales and financial data. Press releases can also be used to generate a feature story.

Optimizing a press release for search engines means including keywords so that search engines will detect your news release and can rank it high for your targeted key phrase. 5 tips for writing a book announcement news release that will get used by the press
A book announcement press release helps us tell the world our new book is available for purchase. It’s often sent to the media with a copy of the book or a note asking if the journalist would like to receive a complimentary review copy. It’s also included in the book’s press kit. It’s not the only media relations tool you’ll want to use to generate book buzz, but it’s an essential resource when your goal is to tell the media outlets read, watched, or listened to by your book’s target audience that there’s a new book they’ll want to know about.
An effective a book announcement press release is written in a journalistic format that mimics how a magazine or newspaper would write about your new book. It uses the traditional news release format that journalists are accustomed to receiving.
Because this is such an important tool – and because there is a trend among inexperienced publicists to turn the announcement into an advertisement that journalists will reject, not embrace – it’s important to understand how to write a release that will get read and used.
Here are tips designed to help you avoid common and costly errors with your important announcement release.
1. Use the traditional news release format. This includes your contact information, a headline, and your announcement written in a journalistic style. Study the press releases at www.prweb.com and www.prnewswire.com for examples. Don’t use graphics, multiple columns, or different fonts, sizes, and colors.
2. Remember that you are not the news. Your book is the news. Unless your name is recognizable, don’t put it in the headline. “New book details secret World War II plot” is more compelling than, “John Brown’s first book is about World War II.”
3. Avoid using superlatives. A news release announces news in a factual way, so limit your descriptive text to the facts. This isn’t a book review expressing an opinion – it’s an announcement that a journalist would like to copy and paste into a publication. That’s why you want to avoid language – “fabulous,” “best-ever,” “fascinating” – that you won’t see in a news story.
4. Distribute your announcement release in text format, not as a PDF file. It is easy to copy and paste text from an e-mail or from a Web site; it is hard to copy text from a PDF file. The more you make somebody work to use your information, the less likely they are to do so.
5. Tell us where to buy the book. This is the key chunk of information most often omitted in the homework assignments submitted by students in my book publicity e-course. Remember to include the title, publisher name, publication date, price, and information about where it can be purchased.
In addition to distributing your release to your targeted media outlets – including online options such as blogs – post the release on your Web site so it can be found by search engine users. Your goal is to get your news in front of the people who are most likely to buy your book.

A tip sheet is a news release that offers tips or advice in a bulleted or numbered format. It’s one of the hardest working and most useful tactics available for generating publicity. Use a tip sheet to generate short column notes in a newspaper or magazine or to interest a reporter, editor, or producer in a feature article or talk show interview on the tip sheet topic.
Here’s how to create an effective tip sheet:
- Use a press release format. The biggest difference between a tip sheet and a traditional press release is that the body of the tip sheet will include your tips or advice in a numbered or bulleted format.
- Start with a headline that mimics those on magazine covers – “5 ways to lose weight before June” or “6 ways to save the most at the supermarket.”
- Write your first paragraph so it explains why the tips are necessary. Think of it as stating a problem (the solution comes in your tips).
- Quote and identify the expert source (you) in the second paragraph. This should provide more detail about why the tip sheet is necessary and establish the subject’s credentials.
- Set up your tips with a sentence – “Here are Smith’s tips for saving money at the supermarket” – or a short paragraph.
- List your tips with bullets or numbers. When tips are listed this way, rather than in a traditional paragraph format, editors can quickly scan them to see if they would be useful to readers – or not. Make sure you write your tips in an active voice with strong verbs. And make sure they provide advice, not reasons to do something or product features.
- Finally, add the concluding boilerplate paragraph that you use in most press releases.
Look for ways to include tip sheets in your book’s publicity plan; you’ll soon see how easily they generate results.

Writing online press releases is similar to writing offline news releases. There is a lot of information available about how to write traditional news releases. So, I’ll focus here on how online press releases are different from offline press releases.
An online press release can give you SEO in addition to traffic.
Here’s a recipe for writing effective online press releases.
Focus on keywords
The purpose of writing SEO optimized content is to get indexed for your keywords and show up in the search results when someone does a search for your keywords.
Writing for search engines means including keywords. To get the maximum SEO benefit of online news releases, you need to include key phrases. Here’s how to use key phrases.
- First, you must know what keywords you will be targeting.
- Write each news release around one main key phrase.
- Include your key phrase in your title.
- Include your key phrase several times in the body of the news release.
- Make sure to have your key phrase in the first and last paragraph.
- Include your key phrase it in your resource box (in anchor text whenever possible).
Caution about keyword spamming: But don’t overdo the keywords. If your news release doesn’t make sense to readers, they won’t go to your site. If you’re using the keywords too often, you can be penalized for keyword spamming. Target about 3% keyword density and never use more than 6%. 3% density means that you are mentioning your keyword 3 times per 100 words. For example, if you’re writing a 400 word article, 3% keyword density means that you can mention your keyword 12 times.
Writing an online news release
A press release has similar elements are an article. It has a title, introduction, body, ending/conclusion and a resource box. The difference is that a news release has to have a newsly feel.
Writing a compelling title
You’ll want to write a compelling title that will intrigue a large amount of people. Your title has to be related your topic. Keep it powerful but vague. Make readers click to find out what it’s all about. Avoid using your business’s name or your own name in the title.
Writing the body of the news release.
- Rewrite an article to give it a newsly feel.
- The “story” approach or the “newspaper” approach work well. With the newspaper approach, put all the pertinent details in the first paragraph and then slowly scale down the story. When using the story approach, you don’t give any specific details until the end.
Writing a resource box
A resource box is a blurb with your contact information that goes at the end of the press release. Here’s how to write a resource box for your news release.
- Include your main key phrase in the resource box.
- Direct the reader to your site in your resource box. Included your full url (including ).
- When allowed, create anchor links linking your key phrase to a specific web page about that topic. (this is very important)
- Don’t forget to include a call to action, e.g. ask to call or visit your web site.
Submitting your news release
After writing the news release, you have to submit it to online press release sites.
It’s important to follow is the submission guidelines of the press release service you choose. Some services require character-per-line formatting while others allow wrapped text. You will typically have to include certain information such as your telephone number, address, and byline.
