How to Write Welcome Email Messages

The welcome email message is the first email you send to subscribers, customers, or users. The welcome email is the most-opened email so you need to give it the full attention it deserves. When someone subscribes to your newsletter, they expect to receive a welcome newsletter immediately.

You need to send a welcome email and follow-up messages when people request your freebie, subscribe to your newsletter, register for a webinar, or make a purchase from your online store.

The first message you send to new subscribers sets the tone. A thank you and welcome message builds trust between you and your subscriber. It shows that you appreciate and value them. It also sets readers’ expectations. It's the beginning of your relationship.

Since 90 percent of your subscribers will open your welcome email, it’s the best chance you have to strengthen trust with your subscribers.

Target your welcome email to your audience. Explain the benefits of being a member. A good welcome email gives subscribers a good impression of you and makes them look forward to hearing from you again.

9 tips to help you build a relationship and trust with your welcome email message

1. Write a compelling subject line for your welcome email message

Writing a compelling subject line is crucial for the success of your email marketing campaign. It's the first thing your subscribers see and it influences their decision to open your email or not. That's why it's essential to make your subject line attention-grabbing and relevant to your audience's interests. Research shows that most people look at the subject line of an email message before seeing who the sender is. So, if your subject line fails to grab their attention, it's likely that they won't open your email.

If you're offering a freebie or any other incentive, make sure to mention it in your subject line to entice them to open your email. Remember, your subscribers signed up to your list with the expectation of receiving timely and valuable content, so be sure to deliver on that promise.

Example:

  • Subject: Your Download – [mention the name of your lead magnet]

2. Salutation

Set a friendly, welcoming tone with a personalized greeting. Use the recipient's name if possible and add a personal touch.

3. Thank them and Congratulate them

in your welcome message thank people for subscribing

In your welcome email, thank them for subscribing. Congratulate them on taking a step towards learning more and making changes. Assure them of your support and commitment toward their success by sharing your knowledge and expertise. You want them to feel that they are not alone in their journey and that you are there to guide and assist them every step of the way.

To establish a deeper connection with your subscribers, refer to them as “team members.” This indicates that they are part of your community and that you value their input and feedback.

Examples:

  • Thanks for requesting the [mention the name of your freebie/lead magnet].
  • Congratulations on taking your first step to [mention the problem you’re solving]. If you haven’t already downloaded your free [mention what you’re giving them], do so here: [insert the link to your freebie].
  • Thank you for registering to receive my [mention the name of your freebie/lead magnet].
  • CONGRATULATIONS. We are happy and excited to walk you through the exact process that thousands of people have used to start a successful blog.

4. Provide a link to your freebie

Provide the download link to your offer in your email message. Put the link towards the top of the page and again at the bottom in your P.S.

Example:

  • >> DOWNLOAD YOUR REPORT HERE << [Link the text to your freebie].
  • >> CLICK HERE to download your [mention the name of your lead magnet].

NOTE: I recommend using BOLD to make your link stand out.

5. Tell them what to expect

Clearly communicate the benefits the subscriber can expect from being part of your community. Tell them how often they’ll receive emails, and what type of content they’ll get.

Put other information you want to include in between the links or calls to action.

Examples:

  • Stay tuned to your inbox next week because I'll be sharing the best Black Friday sales for bloggers!
  • Here's what you can expect next: About once a week I'll email you about ridiculously good marketing strategies and resources I uncover.
  • Over the next few days, I'll send you step-by-step strategies you can use to grow your email list and customer base.
  • I'll be sending you some free content in the coming days that I think you'll enjoy.
  • Watch your inbox because we have some great things to share with you…
  • Here is what you can expect as a member of this community:
    • Monday afternoon interviews with other entrepreneurs sharing their expertise with you.
    • Sunday night emails about how to stand out and stand up for your subscribers.
    • Free and paid products to make email marketing and online business simple…and FUN!

6. Be Authentic

Let your personality shine in your emails. If you have a quirky sense of humor, let it show, while still being professional. That’s the key to building relationships.

When readers are attracted to your site and join your list, it’s because they’ve seen something they like in the content and/or your tone/style. When you hide personality traits, you may unknowingly hide something that would attract even more people to you.

7. Provide Clear Directions

Tell members how to accomplish the things you want them to do. For example, if you want them to take a survey to get to know them better, include directions. If you promised a freebie, explain where and how to get it. If you want them to join your online group, tell them where to go and how to join.

9. Encourage Engagement

Invite recipients to engage with you or your brand. Reassure them that you are available and eager to assist them. Make it easy for them to connect and interact with you. Provide your email address, website URL, and social media channels to encourage recipients to reach out to you with any questions or concerns. When you are easy to contact, your audience feels that you do care and that they are important.

Tell your subscribers about the social networks you use. It’s a good way to educate them and invite them to share a more personal connection with you. Provide the social links and explain the steps they need to take to join the group.

Example:

  • Subscribe to the [YOUTUBE CHANNEL NAME] YouTube Channels (2-3 videos weekly! [LINK]

Create a welcome sequence

While your welcome email message is very important, so are the follow-up emails in the welcome sequence.

A welcome sequence is a series of emails you send to your new subscribers to get to know you better, learn what you do, show how you can support them, and help them achieve their goals. This sequence is also called a nurture sequence or a funnel as its purpose is to guide your subscribers through the early stages of their relationship with you.

A welcome sequence is a must to make a great first impression, build a strong, engaged audience, and build trust.
